Ordering Equipment

Timing is everything when it comes to a smooth, efficient PayPass implementation. Even the most meticulously planned implementation can be thrown off course if the details of ordering and delivery aren't worked out well in advance. So take a few minutes to review the information and best practices in the following three areas.

Conducting a Pre-order Check

Before you begin the ordering process, check to see if you can answer “yes” to each of the questions that follow.

Ordering Readers and Terminals

After you've selected your PayPass terminals/readers brands and models, you'll need to determine how many to order for each location. The brand/model of the PayPass terminals/reader will depend on store operations and the types of transactions you will be making (credit, debit, etc.).

Project Manager

If you have a large operation, you may have a central point-of-sale team. If that’s the case, chances are that your POS staff will contact the POS vendor to inquire about PayPass vendors and equipment, and the POS vendor will recommend a particular PayPass terminal/reader vendor based on your requirements. If you do not have your own central POS team, contact your acquiring bank or Independent Sales Organization (ISO) to place an order for PayPass terminals/readers.

There are several brands and models of PayPass readers and terminals to choose from. Take a few minutes to think about your physical location and other requirements related to payments:

  • How much counter space do you have?

  • Are there any other environmental factors to consider, like outdoor locations?

  • Would you benefit from a PayPass-only reader vs. a PayPass terminal?

  • Should you offer customer facing terminals/readers?

  • Do you need stands, decals or a cable?

  • Do you need a PIN pad capability for PIN Debit transactions?

  • Do you need screen signature capture capability?

  • Do you need touch screen capability?

  • Do you need countertop, multi-lane, or mobile/portable terminals/readers?

Always order MasterCard/Acquirer approved PayPass readers/terminals from approved vendors.

  • Ask your vendor about the time frame for delivery. Most vendors need a minimum of 6-8 weeks for delivery, depending on the size of the order. Check with the vendor.
  • Make sure to order readers/terminals with the decals*, cables, brackets and pedestals/stands you need for your POS/ECR.
(*Decals should be affixed by the hardware vendor prior to shipping)

Selecting Delivery Method

A key ordering consideration is the method of delivery that makes the most sense for your implementation. There are two options:

  • Drop Ship: the PayPass vendor delivers the PayPass terminals/reader directly to the merchant locations in preparation for the installation.
  • Bulk: the PayPass vendor delivers part or all the PayPass terminals/readers to a merchant-designated central location for set-up, preparation, and subsequent shipment to merchant locations for installation.
